Typically when someone calls in for rates/availability or to make a Reservation, you would click on the Quick Quote button on the gold bar Action Bar:
Note: In the NEW look for Skyware, the Action Bar appears slightly different but retains the Quick Quote button.
This is the best practice if the rooms are not all named individually, but instead are listed by Room Type. The Quick Quotes screen is basically an Availability Graph containing both rates and availability for your selected rooms.
You can also access the Quick Quote screen by using the Quick Menu -> Reservations -> Quick Quote.
From the Quick Menu (left) choose Reservations to be taken to the Reservations Menu screen.

This will display the Reservations menu in a tabular form, with two sections, Guest Reservations and Group Reservations.

Select Quick Quote from the Guest reservations section of the Reservations menu.

This will take you to the Quick Quotes Screen, where you can complete all the relevant fields to show an Availability Graph containing both rates and availability for your selected rooms. By default, the Quick Quotes screen is set to show the rates and availability for all your room types for 3 days, beginning with today's date, but this can be changed as wished (with the number of days shown set as default at what was last used with this screen when the screen is next used). Columns for any applicable taxes, fees, the total cost, ADR and the amount of any deposit required for each room type are also shown, so that you can easily see the numbers to give to the guest if requested.
From The Quick Quotes screen you can:
Click on the room type button that is the left most or right most button on the grid. This will start a reservation in the quick reservation screen.
Access an actual picture of the room when a camera icon appears (can click on it to view a picture of that room type).
Select to print the screen (by clicking the print button) or send it to an excel spreadsheet for display purposes, for example to give to a guest.
To build the Chart:
Show All Hotels: This box will be available if you have more than one property with Skyware Systems AND you have access (for example, a manager). Check this box if you wish to display rooms and rates in all available properties. By default it is unchecked.
Enter the Start Date: This may be selected using the calender display. Click within the field to open the calendar screen and select the desired date.
# of Nights: The number of nights should be selected. By default, a Quick Quote will begin on today's date and be for 3 nights.
Bedded: This determines if the room has an actual bed in it (not a sofa-bed). If a room has no bed it will typically be sold with another (bedded) room - this is a means of turning a room into a suite. This box may be checked or unchecked. If you wish to only display rooms with beds you should check it. By default this box is unchecked, with every room available being displayed.
Building: This is a drop-down menu of all buildings available. The default option is set in Property Definitions by your Property. Select a specific building if desired.
Select Rate Plan(s): This button when clicked will generate a pop up list of all rate plans available to select from. Check any that apply and click the "Apply" button at the bottom of the menu. Otherwise, click Cancel to return to the main Quick Quote screen. The first rate in your list of rate plans is displayed by default (as set in your Rate Plan Types maintenance screen).
Select Room Type(s): This button when clicked will generate a pop up list of all Room Types available (with the selected rate plans) to select from. Check any that apply and click the "Apply" button at the bottom of the menu. Otherwise, click Cancel to return to the main Quick Quote screen. If none are selected, ALL will be shown.
There are several ways of displaying your selected rooms: Only one at a time can be chosen, and the default option is Show Available # (of rooms).
Show Available: # or % of rooms.
Show Sold: # or % of rooms.
Total: Total room types to sell.
OOO: Out Of Order for each room type.
Show Quick Quote: This box will be automatically checked when entering this screen from the Quick Quote links. If it is unchecked, the screen will switch to displaying the Room Availability screen instead of the Quick Quote Screen. See Room Availability for more details.
Number of Adults, Youths, and Children may all be selected (the default option is 1 adult), and if any Pets are being accommodated this can also be selected.
Package: This is a drop-down menu of available package options. You can select one. The default option is no package.
Selecting the Adults, Youths, Children, and Package will change the Taxes, Total, ADR in the Availability Graph.
Once you have made all your selections, you can click the Refresh button to show the updated Availability Graph.
The room types will appear on the left side of the screen, the dates selected will appear from left to right across the top of the chart and the number of rooms (either available to sell or sold based on the selection) by room type by day will appear in the grid below the dates. Columns for any applicable taxes, fees, the total cost, ADR and the amount of any deposit required for each room type are also shown (after the date columns).
Available: The total number of rooms still available to sell for that day (total rooms on property - the number of rooms sold).
Restrictions: Codes will display (* _) if restrictions exist for that day. Keep in mind a room type may not be displayed if closed to departures is set. The departure date is not shown on this screen.
Back or Next: These buttons when clicked allow you to display either the previous (# of) days selected, or the next (# of) days selected in the Availability Graph. The number of days shown by either button is the same number of days shown in the actual Availability Graph, as selected above.
Note: On the Quick Quotes screen, Fridays and Saturdays are shown in a PURPLE color, to denote the dates in which demand (and therefore price) is likely to be higher.
If you have a designated Holiday in the dates shown, this will also appear in color, this time PINK. Hovering over the specific date will bring up a screen tip indicating what the holiday is.
This makes the Holiday function of Skyware a useful tool for ensuring that your staff are aware of upcoming events or occasions affecting your property when viewing your availability regarding reservations.
There is a Quick Quote button available on several of the Check-in pages, clicking this button will bring up a new window that displays a shortened version of the check-in form that can be completed and printed out to give a guest a quick quote or estimate of the price of a potential stay, with different room type availabilities and pricing, and any packages available. The form is almost identical to the Quick Quote screen, but will take and display any information already inputted into the Check-in screen and is a separate pop-up window rather than a new screen in Skyware Systems, meaning you will remain on the relevant Check-in page.
